April 2, 2009

This was the "Pull it All Together" meeting. The purpose of the meeting was to connect with everyone and determine if we have enough time to pull it all together and have a great celebration for Valencia's 75th.  We divided into committees, brainstormed and used activity planners to further our plans.

 

We have new chairpersons for the following committees:

  • Event Coordinator (oversees the 3-day extravaganza aka: the big cheese) Marsha Somerville
  • Fundraising: Nikki Shaw and Mary Weddle
  • Sunday/Family Day: Nikki and Brad Hall
  • Golf Tournament: Howard Vipperman and Bernard Ma (correct if this is wrong- is it just Howard or ???)
  • School Business/Coordination: Cathy German and Michele Zaldin

 

Marsha Somerville announced that we have more than 240 RSVP's and more are coming in all the time.  The multi-pronged publicity attack seems to be reaching many (Facebook, VHStigers.org, Classmates.com).

 

Concerns were expressed that with this many RSVP's and some having purchased plane tickets and such it is too late to change the dates.

 

Discussed the beer/wine permit process and it appears that the simplest way may be to work under the American Legion/VFW liquor license.

 

Database is finished.

 

Joy showed the wiki and explained how the wiki works and it's purpose-- which is to facilitate coordination of the events. It helps lessen the email flood and serves to track what has happened and the results. PLEASE CLICK ON YOUR PAGE IN THE SIDE BAR AT RIGHT AND UPDATE-- PLEASE.  IT WILL HELP SO MUCH!

 

Richard Hernandez roamed between the committees-- he is too big of a tiger and can't be caged by just one committee. It was better than if we all fought over him. ; )  He is making things happen. 

 

Discussed a brick sales program-- sell them with commemorative info on them or to commemorate a special event for that person. (like Disney brick program)  Valencia's ASB will run this program since it will be ongoing -- probably until the end of time.

 

We will be sending out letters to the residents to explain upcoming events and invite them while also preparing them for noise/traffic.

 

 

March 26, 2009

Although this meeting was cancelled due to an ER visit by Cathy German, several members showed up and a meeting was held.  The following is a detailed report of what was accomplished:

 

Kim Neill and Susan Overmiller volunteered to co-chair Saturday's events and the Saturday committee. 

 

Mary and Scott Vickers will create a website to support the 75th Anniversary.  (Joy will be contacting them to discuss the need and scope of the website.)

 

Richard Hernandez discussed doing a Car Show, possibly on both Saturday and Sunday.  Details to follow.

 

Band would like to have use of the Stadium Snack Shop/Kitchen (Mary Vickers).

 

Follow up from Joy regarding Booster Club contacts for booths and performances.

 

Follow up needed from Cathy German regarding permits, and date concerns.  (This will be discussed in detail next week-- there is concern that there isn't enough time to pull it all together.)  Next week we will meet to have the "PULL IT ALL TOGETHER" meeting.  To clarify where we are and what we will do next. 

 

Next meeting will be Thursday, April 2nd in Valencia's library.

Discussed the following:

  • Hall of Fame- decided to put this off and let the Alumni Association handle it in the future
  • Facebook-- using this as another way to get the info out about the 75th celebration.
  • Marsha Somerville- is also posting to all years using Joy Millam's Classmates account (as a teacher she can include any years of service she wants making this the easiest way to post the info to all years)
  • The newspapers will be contacted to get the news out about meetings.  The word is spreading about the event, we are needing more out there about getting help on the committee.
  • Checking the status of the permits
    • Cathy put them in and they were misplaced. They have been re-submitted.
  • Golf Tournament info is incorrect on the Webstore. Joy will get that changed through the webmaster it should state Black Gold Golf Club in Yorba Linda (not Alta Vista), and the price is being checked. Bernard Ma has said that he will be at the meeting on 4/2.
    • Request for web correction was made on 3/23. Will ask again 3/27.
  • Dance and Beer Garden tickets cannot be put on the webstore until we have permits for alcohol.  At that time we will be charging $7 pre-sale/$10 at the door/day of.
  • Concerns regarding the construction timing on the stadium came up-- Cathy is checking on this item.
  • Joy volunteered to pull together a list of the clubs and advisors and send them to Marsha so we can get going on the booths/performers for Saturday. Cathy is giving that information to Diane Castner and she will send it to Marsha and Joy. It will be posted on the wiki as well on the Files and Documents page.
  • Tawny Bullerdick is going to work on advertising- we are asking her to advertise the committee for the present. The event publicity is already happening (Facebook, Classmates.com, newspaper, word of mouth, signs at Madison, etc).
